Getting Started Admin Setup

Welcome to FFB FX Global Payments. Setting up your account is quick and easy. You will receive an email invitation to access the portal.

1. Click the Proceed button in the email to set-up login credentials

Note: To avoid missing important portal notifications, please add fxsupport@ffb.bank to your email whitelist or safe sender list. This ensures you receive critical updates, including user invitations, payment approvals, and transaction status alerts.

2. Add the FFB International Portal as a new account in your trusted authenticator app such as Duo Mobile or Google Authenticator.

Getting Started Protecting Your Information

Here at FFB, we work hard to protect your personal information and provide you with a dependable online experience. However, we rely on you to take further precautions to assure the safety of your accounts. By following our tips, Online Banking can be a secure and efficient method for your banking needs. General Guidelines • Make sure your operating system and antivirus software are up to date. • Always use secure wireless (WiFi) networks that require a login ID and password. • Never leave your computer unattended while using Online Banking. • Monitor your recent account history for unauthorized transactions. • Always log off Online Banking when you’re finished and close the browser. Login ID and Password • Create strong passwords by using a mixture of uppercase and lowercase letters, numbers and special characters. • Do not create passwords containing your initials or birthday. • Change your passwords periodically. • Memorize your passwords instead of writing them down. • Only register personal devices, and avoid using features that save your login IDs and passwords. • Enable two-factor authentication for enhanced security. Fraud Prevention • Do not open email attachments or click on links from unsolicited sources. • Avoid giving out personal information on the phone or through email. • Shred unwanted sensitive documents including receipts, checks, deposit slips, pre-approved credit card offers and expired cards. • Act quickly. If you suspect your financial information is compromised, call us immediately at (559) 439-0200.

Getting Started Dashboard

After logging in, you are taken directly to the payments dashboard. Within this central hub, you can create a beneficiary, start a payment, or track recent transactions. Use the navigation menu on the left side of the page to access all the available features.

Users Overview

Set up multiple users with different responsibilities. New users can be created with their own unique login IDs and passwords. Each user is assigned a set of user permission that permits or prevents them from performing certain actions such as: • Creating and approving payments • Creating beneficiaries • Inviting new users Establishing these permissions gives users permission to perform specific tasks, helping you manage your business and keep it running as smooth as possible.

Click the View Users tab. A. Use the search bar to search for a user. B. The following information presents for each sub-user: • Name • Email Address • User Permissions C. Click the and icons to grant and revoke permissions. D. User Status: • Enrolled: The green circle indicates that a user is active.

• Expiry: A yellow circle indicates that a user is pending expiration. Hovering over the circle with your mouse will display the date and time of expiration. • Not Enrolled: The red circle indicates that a user is inactive.

Administrators can set up new users and manage their rights to various features.

Click the Invite User tab. 1. Enter the user’s first and last name. 2. Enter the user’s business email. 3. Click the Send Invitation button. The user will receive an email invitation to join the portal. 4. (Optional) To invite additional users, click the Invite Another User button. Note: Portal invitations are only valid for one week. Be sure to accept it before it expires to get started. If an invite expires, Administrators can resend an invite from Manage User Permissions.

Users User Permissions

When assigning permissions to a user, you can customize their access based on the tasks they need to perform. Permissions are organized by category—such as Payments, Beneficiaries, and User Management—allowing you to grant specific capabilities like creating transactions, approving payments, or managing other users. Carefully selecting the appropriate permissions ensures users have the access they need while maintaining security and control over your organization’s activity.

Note: You can assign or edit permissions at any time from the View Users tab by clicking the icon to grant permissions or by clicking the icon to revoke permissions.

2. Select the desired permissions for the user.

Note: Approvers will need “View Payment,” “View Payment Approvals,” and “Approve Payments” selected. The approver will not need any permissions listed under the “Beneficiary” and “User” categories.

3. Click the Grant Selected Roles button.

Note: Users with full access are designated as Admin users. It is recommended to have at least two admins. Admins can control and assign access to designated approvers and sub-users invited to the portal.

You may mix and match administrator permissions for approvers. For example, if you would like the administrator to simply view transactions and monitor them, you can select those two options only. Note: When giving a user “Grant Permission” or “Revoke Permission” permissions under User, ensure these permissions are being granted to the right user to avoid potential security risks.

If the initial invitation expires, admins can re-invite a user.

Beneficiaries Overview

A beneficiary is any person or company that receives payments from your business. For easy access on the View Beneficiaries page, you can set up individual profiles, so funds can be sent to a beneficiary.

Before you can start sending payments, you will need to set up beneficiaries.

Note: International payments can only be sent to beneficiaries located in supported countries.

Click the Create Beneficiary tab. 1. Use the drop-down to select the beneficiary category.

2. Enter the beneficiary’s name. Certain characters cannot be used when entering the Beneficiary Name. Only A-Z, 0-9, periods, commas, forward slashes, parentheses, and hyphens are allowed. 3. Enter the beneficiary’s nickname. 4. Enter the BIC/SWIFT (also known as Bank Identifier Code or SWIFT number) and the account number. The country and preferred currency fields will automatically populate. Note: Depending on the country, you may also need to enter extra details like the account number, branch code, bank code, or national ID. Contact your beneficiary or refer to your wire instructions for these details.

Archive a beneficiary when they are no longer needed. Archived beneficiaries cannot be used for payments.

Getting an FX Quote Overview

Before you initiate an international payment, you can use the “Get FX Quote” feature to obtain an estimate of the exchange rate for your transaction. You can use the estimated exchange rate to plan your budget and ensure you have sufficient funds for your international payment.

Click the Get FX Quote tab. 1. Use the drop-down to select the currency. 2. Use the drop-down to select a beneficiary. 3. Click the Submit button. The system will then provide you with an estimated exchange rate for the selected currency and beneficiary.

Note: The FX Quote is an estimate and the actual exchange rate applied to your transaction may vary slightly due to market fluctuations.

Payments Initiating Payments

Once beneficiaries are set up, users with appropriate rights can create payment drafts.

Note: Payments can be initiated through the portal on business days from 6:00 AM to 5:00 PM Pacific Time.

Click the Make Payment tab. 1. Use the drop-down to select a beneficiary.

Note: Only enrolled beneficiaries can be selected to make payments.

2. Click the Next button. 3. Enter the amount to pay. The system will automatically convert it to the beneficiary’s local currency. 4. (Optional) The exchange rate is updated in real-time to ensure you get the best possible rate for your transaction. Click the drop-down next to “Rate” to check the inverse conversion rate. 5. (Optional) If you want to change the currency type, use the drop-down to select a new one from the list. You can choose to send the payment in USD or in the beneficiary’s local currency. Sending in USD may require the beneficiary’s bank to convert funds into their local currency, which can add time and potentially incur additional charges. 6. Click the Next button.

7. Use the drop-down to select a purpose for the payment. 8. (Optional) Enter a note to the recipient. This message will be sent with the transaction. 9. (Optional) Enter an internal transaction note. 10. Click the Confirm Transaction button. 11. You will be prompted to enter a 6-digit verification code from your authenticator app and click the Approve button. 12. Review your payments in the Recent Transactions section of the dashboard, or by clicking “Transaction History” in the menu. Each payment will include details and a status.

Approval Process Overview

Once a payment has been drafted, approvers can submit them for processing. Approvers receive email notifications for pending transactions. Click the View Transaction button in this email to securely login to the portal to access the specific transaction details. You can also check transactions pending approval any time by clicking the Approvals tab in the menu. Each transaction on the approvals page displays its status and approval requirements. • Single Approval means payments must be approved by at least one designated approver, and does not need to be approved by all approvers. • The “Expiry” column displays the day and time the transaction will expire. Transactions must be approved or denied within two hours of creation, or they will expire and must be resubmitted. • The “Required” column shows how many approvers are needed to submit the payment.
